What is a Bank Account Closure Letter?

A bank account closure letter is the written instruction that tells your bank to shut a named account, pay out what is left in it, and stop treating it as live. Banks will not act on a phone call alone for a closure — they want a signed request they can file. Without one the account stays open, quietly attracting maintenance charges and dormancy flags on an account you thought you had finished with.

People write this letter when they are consolidating accounts after a marriage or a move, when a salary account has gone idle after changing jobs, when a joint account has to be unwound, or when a relative has died and the account has to be settled. Businesses send the same letter for a current account that is no longer used. Whether you call it a closing account form, an account termination letter or simply a request to cancel a bank account, the bank treats it the same way: a signed instruction from the account holder.

How far account closure requests can be handled remotely varies by bank and by country. Many banks in India still want the holder present at the home branch with photo identification, so the signature can be verified. Banks in the UK, the US, Canada and Australia often accept a secure message or an online form, though joint and business accounts frequently still need signatures from everyone named. Closure fees where an account is shut within a set period of opening, the notice a bank may give itself, and the rules on unclaimed balances all differ — ask your own bank what applies before you post anything.

The letter closes the account. It does not cancel the things attached to it. Standing instructions, direct debits, recurring card payments, salary mandates and auto-pay links keep trying to draw on an account that no longer exists, and the failures land on you, not the bank — a missed insurance premium or loan instalment because the account was shut is still a missed payment. The letter also does not settle an overdraft or an outstanding loan secured against the account, and it is not a dispute letter: a contested charge has to be raised separately before you close.

How to write a Bank Account Closure Letter

  1. Address the branch and identify the account

Write to the Branch Manager at the branch where the account is held, not to head office. Under the address put the account number in full, the account type — savings, current, salary — and the name exactly as the bank holds it. If it is a joint account, name every holder. The first thing the clerk does is match your letter to a record, and a letter without an account number cannot be matched.

  2. State the request in one line

Open the body with the instruction itself: a request to close the account with effect from a stated date. Do not bury it under three sentences of background. A reason is optional and rarely needed — relocating, consolidating accounts, no longer required will do. Resist the urge to complain here; if you have a grievance, that is a separate letter, and mixing the two slows the closure down.

  3. List what you are surrendering

Banks expect unused cheque leaves, the debit or ATM card and the passbook back, and they want them itemised. Write the cheque numbers being returned as a range, the last four digits of the card and the passbook number. Cut the card across the chip before handing it over. An itemised list is your record that the instruments left your hands on that date, which matters if one is later misused.

  4. Say where the closing balance goes

Name the destination account: holder name, account number, and the sort code, IFSC, routing number or BSB the bank needs to route it. If you would rather have a demand draft or cheque, say so and say which name it should be drawn in. A closure letter that does not say where the money goes leaves the balance sitting in suspense while someone telephones you, and that call may not come quickly.

  5. Ask for written confirmation, then sign

Close by asking for a closure confirmation letter or account closure certificate, and give a mobile number and email for it. Sign in the style the bank has on file — every holder signs on a joint account. Take a copy, and get the branch to stamp and date your copy when you hand it in. That stamped copy is the only proof you asked, on that day, if the account turns up open months later.

Common mistakes

  • Leaving standing instructions and auto-debits running, so an insurance premium or loan instalment bounces against an account that no longer exists.
  • Closing the account before the last inbound payment arrives, so a tax refund or final salary sent to a dead account takes weeks to trace and return.
  • Sending the letter without the account number, which leaves a clerk unable to match it to any record and the request sitting unactioned.
  • Handing over cheque leaves and the card without itemising them, so there is nothing on paper if an instrument is later misused.
  • Not asking for written closure confirmation, which leaves you with no answer when a maintenance charge or dormancy notice arrives on the account months later.

Frequently asked questions

How do I write a formal letter to close my bank account?

Address the Branch Manager at the branch holding the account. Give the account number, account type and the names of all holders. Ask in one sentence for the account to be closed from a stated date. List the unused cheque leaves, card and passbook you are returning. Say where the closing balance should be sent. Ask for written confirmation, then sign as the bank has your signature on file.

Do I have to go to the branch to close a bank account?

Often, but not always. Many banks — particularly in India — want the holder in the home branch with photo identification so the signature can be verified in person. Banks in the UK, the US, Canada and Australia more often accept a secure message, an online closure form or a posted letter. Joint and business accounts usually still need every signatory. Ask your bank which route it accepts before you travel.

Is there a charge for closing a bank account?

There can be. Several banks levy a fee where an account is closed within a set period of opening — often measured in months from the opening date — and some charge nothing after that. There may also be unpaid maintenance or minimum balance charges deducted from the closing balance. The figures and the qualifying period are set by each bank and change, so ask for the current schedule rather than assuming it is free.

What should I do about standing instructions before closing the account?

Cancel them yourself, one at a time, before the closure date. Pull twelve months of statements and list every recurring debit: insurance premiums, loan instalments, subscriptions, utility mandates, investment plans, auto-pay links. Move each one to the new account with the provider directly, because the bank will not do it for you. A closed account does not politely decline these — it fails them, and the failure is recorded against you.

Is there a standard format or sample for an account closure letter?

No bank publishes one binding format, and none is required. A plain signed letter carrying the account number, the request, the returned instruments and the payout destination is what a branch works from. Some banks also have their own closure form at the counter, which you fill in alongside or instead of the letter. If yours has one, use it; the letter then serves as your covering record of what you handed over.
