What is a Birthday Invitation Card?
A birthday invitation card tells guests whose birthday it is, when and where the party is, and who to tell whether they are coming. Whether it is for a child’s first birthday or a parent’s sixtieth, the card is what guests check on the day. Without one, details passed on by phone get muddled: people come at the wrong time, go to the wrong hall or never reply, and you cannot plan food or return gifts. Fill in the birthday invitation template on this page, then print it or save it as a PDF to share.
Parents send birthday invitations for children’s parties at home, in a play centre, a party hall or a society clubhouse. Families send them for milestone birthdays too: a first birthday, a sweet sixteen, an eighteenth, a fiftieth, or a parent’s sixtieth, which many South Indian families mark as shashtipoorthi. Friends use them for surprise parties, and offices for a colleague’s celebration. In India the card is often shared on WhatsApp, with printed copies for elders and neighbours; in the US, cards for a child’s party are often handed out at school or sent by text or email. The occasion changes the wording, but every card answers the same questions: whose party, when, where and who to reply to.
Customs differ more than the format does. In India an invitation to a child’s party usually brings the whole family, so say if it is for children only; in the US a party for young children is often a drop-off party, so say whether parents should stay and when to collect. Before handing cards out at school, check the school’s policy, as many ask that invitations given out in class go to every child, or are not handed out there at all. Check the venue’s booking terms too — the number of guests, the finishing time, whether you may bring your own cake or decorations — and, for music late in the evening, the local noise rules, which the venue or your housing society can explain.
A birthday invitation is a friendly notice, not a formal letter, and it does not collect replies for you: answers go to the person named under RSVP, so keep a list as they come in. It is not a guest pass either. If a gated community, club or office building needs guests’ names in advance, send that list separately. For a formal family function with a religious ceremony and a long guest list, a card in the style of a wedding invitation, naming the hosts and each event, may suit better than a party card.

How to make a birthday invitation card
Start with the name and the age
Type the name guests know, such as ‘Aarav’, ‘Ananya’ or ‘Grandpa Ravi’, rather than a full legal name. Add the age as a number only and the card turns it into ‘7th’ or ‘1st’, so the heading reads ‘Aarav’s 7th Birthday Party’. Leave the age blank for a surprise party, or for an adult who would rather not see the number printed. Check the spelling with the parents or the birthday person before anything goes to print.
Give the date, the time and the full venue
Pick the date from the calendar and the card adds the day of the week, a quick check that you chose the right date. Give a start and an end time, such as ‘4:00 p.m. to 7:00 p.m.’, so parents know when to collect children; ‘7:00 p.m. onwards’ suits an evening family party. For the venue, put the name of the place on the first line and the street, area and city on the next, with a landmark, floor or hall name where a building has several.
Add one line for your guests
Use the optional line for whatever guests need to know before they arrive: a theme or dress code, ‘bring a swimsuit’, ‘dinner will be served’ or ‘brothers and sisters are welcome’. If you would rather not receive presents, say so kindly here; ‘Your presence is our present’ is a familiar line on Indian cards, and ‘No gifts, please’ is common in the US. Keep it to one or two sentences, because a card that tries to say everything gets skimmed.
Ask for replies and sign it from the hosts
RSVP is French shorthand for ‘please reply’. In the RSVP box, give one name, a phone number and a reply-by date: ‘Priya, +91 90000 12345, by 15 November’ or ‘Dana, (555) 010-2299, by November 7’. Set the date a few days before you must confirm numbers with the venue or caterer, and ask about food allergies when people reply. Add your names under ‘Hosted by’; they print at the foot of the card as ‘With love, Priya and Ravi’.
Choose the design, then print or share
Change the fonts and colours in the Design tab, and add a photo of the birthday child from Uploads if you like. Print one test copy on plain paper to check spelling and spacing. Then print on card stock, checking the heaviest paper your printer takes, or save it as a PDF and ask a print shop to print it on card and trim it to a smaller size, such as A5 or 5 × 7 inches. Share the same PDF on WhatsApp or by email.

Common mistakes
- Giving only a start time for a children’s party leaves parents unsure when to collect, and leaves you hosting tired children after the food and the venue booking have run out.
- Writing just the hall’s name, with no street, area or landmark, sends guests circling an unfamiliar neighbourhood and arriving after the cake has been cut.
- Leaving out a reply-by date means answers trickle in until the morning of the party, so you cannot fix numbers for food, return gifts or the venue.
- Handing out cards at school to only some of the class hurts the children left out and may break the school’s own rule on invitations.
- Sending the card only a few days before the party finds many families already busy, and gives relatives who must travel no time to plan the journey.
Frequently asked questions
What should I write on a birthday invitation?
Write whose birthday it is and, if you like, the age they are turning; the day, date and time, with an end time for a children’s party; the venue with a full address or landmark; any note guests need, such as a theme or ‘no gifts, please’; and a name, phone number and reply-by date for RSVPs. Sign it from the hosts, and keep the wording short so the details stand out.
How early should you send birthday invitations?
For a child’s party, two to three weeks ahead is usual, so families can keep the date free. Allow four weeks or more for a milestone birthday, a large party at a hall, or guests who have to travel, and send a short save-the-date message earlier still if many are coming from other cities. Ask for replies about a week before the party, so you can confirm numbers with the venue.
What is the format of a birthday invitation card?
From top to bottom: a line such as ‘You are invited to’, a heading with the name and age, such as ‘Aarav’s 7th Birthday Party’, then the day and date, the time, the venue, an optional line for guests, the RSVP name and phone number, and the hosts’ names. The template on this page prints the card in that order, so you only fill in the boxes and choose a design.
What does RSVP mean on a birthday invitation?
RSVP stands for the French ‘répondez s’il vous plaît’, meaning ‘please reply’. It asks every guest to tell the host whether they are coming, usually by a set date. ‘Regrets only’, seen on some US invitations, means reply only if you cannot come. Hosts need the replies to plan food, seating and return gifts or party bags; a short call or message to the number given is all it takes.
How do you say no gifts on a birthday invitation?
Put it in the line for guests, briefly and warmly: ‘Your presence is our present’, ‘No gifts, please — just come and celebrate’, or ‘Please, no gifts; your company is more than enough’. For a child’s party, some families ask for a book or a donation to a named charity instead. Say it once, on the card itself, rather than in reply to guests who have already bought something.
How can I make a birthday invitation card online?
Fill in the form on this page with the name, age, date, time, venue, a line for guests and who to RSVP to, and the card updates as you type. Change the fonts and colours in the Design tab and add a photo from Uploads. Then print it on card stock, or save it as a PDF to send on WhatsApp or by email. There is nothing to install.
What should a first birthday invitation say?
A first birthday card is really an invitation from the parents, so name the child in the heading, such as ‘Aarav’s 1st Birthday Party’, and sign it from the parents as hosts. In India a first birthday is often an evening function with dinner for relatives and friends, so give an ‘onwards’ time and the hall’s full address. Use the line for guests to say that dinner will be served, and give a contact for replies.
