What is a Congratulation Letter?
A congratulation letter marks someone’s success in writing. In a union, members send one when a colleague is elected or elevated to a post such as President or General Secretary; at work, people write for a promotion, a new appointment or an award. It names the achievement, says what you admire, wishes the person well and offers your support. A quick word in passing is soon forgotten; a letter is read again and kept. Fill in the form on this page, or adapt one of the sample letters below.
Union members write one when a colleague is elected, re-elected or elevated to a post — President, General Secretary, Treasurer, a seat on the Executive Committee or a post in a federation — usually within days of the general body meeting or election at which the result is declared. Office-bearers of other unions and associations often write to a newly elected team as a courtesy. At work, colleagues and managers write when someone is promoted, takes up a new post or wins an award; businesses write to clients on a new appointment; schools and colleges write to students and staff who win honours. In formal Indian usage the same letter is also called a felicitation letter.
A congratulation letter has no legal form, so custom decides its style, and custom varies. Within a union or association, follow the style of its own letters and circulars: many close with ‘Yours fraternally’ or ‘With fraternal greetings’, and members may have their own way of addressing one another. In an office, ‘Dear Ms. Rao’ with ‘With warm regards’ or ‘Yours sincerely’ is usual, and in the US a congratulations letter is usually short and on first-name terms. If you write on behalf of a union, association or company rather than yourself, check who may do so under its constitution, rules or communications policy, and use its letterhead.
A congratulation letter is a courtesy, not a record. It does not confirm an election result, a promotion or an award: the returning officer’s declaration, the minutes of the meeting or the employer’s promotion letter do that, and this letter should never be used as proof. Write it once the news is official, so you never have to take it back. It is not a letter of recommendation, and it is not the place for a request; a letter that congratulates and then asks for a favour reads as if the favour were the point.

How to write a congratulation letter
Start with your name, address and the date
Put your name and address at the top, then the date. If you write as an office-bearer, use the union office address; if you write as a friend or colleague, your own address is enough. Date the letter the day you send it, and send it soon: a letter that arrives within a few days of an election or promotion feels warm, while one that comes weeks later reads as an afterthought.
Address them by name and post
Under ‘To,’ write the person’s name with their initials as they use them, then their post exactly as it was declared — ‘President, Kusagra Supplies Employees’ Union’, not ‘Union Head’ — or their address if the letter is personal. A subject line such as ‘Congratulations on your election as President’ suits a formal letter and can be left out of a personal one. For the greeting, follow the custom of your union or office: ‘Dear Ramesh’ between close colleagues, or ‘Dear Sri Ramesh’ in a more formal letter.
Say exactly what you are congratulating
The letter opens with ‘It gives me great pleasure to congratulate you on …’, so finish that sentence with the achievement and its details: ‘your election as President of the union at the General Body Meeting held on 8 November 2026’, ‘your promotion to Assistant Manager — Operations’ or ‘receiving the Employee of the Year award’. The post, the occasion and the date show you are writing to this person about this event, not filling in a blank.
Say what you admire and what you wish them
In the next paragraph, give one or two real reasons the success is deserved: years of taking up members’ problems, careful preparation for talks with management, a project delivered, a team trained. One true detail does more than a string of adjectives. Then add your wishes for the new role — a successful term of office, a good start with a new team — in a sentence or two. Keep the focus on them, and leave out rival candidates, the vote count and old disagreements.
Offer support, then close and sign
Offer help you can actually give: ‘As General Secretary, I look forward to working closely with you’ or ‘Call on me whenever the team needs help’. Add a short closing line, then a sign-off that suits the relationship. ‘Yours fraternally’ and ‘In solidarity’ are traditional between members of a trade union; ‘With warm regards’, ‘With best wishes’ or ‘Yours sincerely’ suit an office. Sign with your name, add your post if you write in an official capacity, then print the letter or save it as a PDF.

Common mistakes
- Getting the person’s name, initials or post wrong — writing ‘Secretary’ for ‘General Secretary’, for example — which the reader notices at once and which makes the congratulations look careless.
- Filling the letter with praise that could fit anyone, such as ‘you richly deserve it’, without a single specific detail, so it reads as a formality rather than a message written for them.
- Mentioning the defeated candidates, the margin of the vote or old disagreements, which turns a message of goodwill into a comment on the contest and can reopen divisions among members.
- Adding a request, such as a transfer, a favour or support for your own cause, which makes the congratulations look like a pretext and puts the person in an awkward position.
- Writing before the result is formally declared or the promotion is announced, which embarrasses you both if the result changes or the news was not yet meant to be public.
Frequently asked questions
How do you write a congratulation letter?
Put your name, address and the date at the top, then ‘To,’ with the person’s name and post. Open with a greeting and, in the first sentence, say exactly what you are congratulating them on — the post, promotion or award, with the occasion and date. Add a few lines on what you admire about them, your wishes for the new role and an offer of support. Close with a short line, a sign-off, your name and, if relevant, your post.
How do you congratulate someone on being elected president or secretary?
Write soon after the result is declared. Name the post and the occasion — ‘on your election as General Secretary at the union’s general body meeting’ — and mention the trust members have placed in them. Give one specific reason they deserve it, wish them a successful term and offer your support. Leave out the other candidates and the vote count. Between members of a union, ‘Yours fraternally’ or ‘In solidarity’ is a traditional sign-off.
How do you start a congratulation letter?
After your address, the date, the person’s name and post, and an optional subject line, open with a greeting such as ‘Dear Ramesh’ or ‘Dear Ms. Rao’. Then go straight to the news in the first sentence: ‘It gives me great pleasure to congratulate you on your promotion to Assistant Manager.’ In a shorter, personal letter, ‘Congratulations on your election as President’ works just as well. Do not open with your own news; the achievement comes first.
What should I write in a congratulations letter for a promotion?
Name the new post exactly, and the date it takes effect if you know it. Say why the promotion is deserved, with a specific example of their work — a project delivered, a team trained, a difficult season handled well. Wish them success in the new role and offer practical help, such as support from your team while they settle in. Keep it to a few short paragraphs and close warmly, for example with ‘With warm regards’ or ‘With best wishes’.
What is a felicitation letter?
‘Felicitation’ is a formal word for congratulation, used widely in Indian English. A felicitation letter is a formal congratulation letter, usually sent by an organisation — a union, association, school or company — or by a senior person, to honour someone’s election, award, promotion or other achievement. It follows the same order as any congratulation letter: the achievement, what the writer admires, good wishes and a respectful sign-off. Some are read out at a function held in the person’s honour.
What does ‘Yours fraternally’ mean in a letter?
‘Yours fraternally’ is a traditional sign-off between members of a trade union, and of some associations and societies. ‘Fraternal’ means brotherly; in this use it stands for fellowship among all members, whatever their gender. It suits a letter from one member or office-bearer to another, such as congratulations on an election to a union post. In a letter to a client, to management or to anyone outside the organisation, ‘Yours sincerely’ or ‘Yours faithfully’ fits better.
Is it ‘congratulation letter’ or ‘congratulations letter’?
Both are used. ‘Congratulation letter’ is common in Indian usage, ‘letter of congratulation’ is the formal British form, and ‘congratulations letter’ or ‘letter of congratulations’ is usual in the US. Inside the letter, use the plural when you speak to the person: ‘Congratulations on your election’, never ‘Congratulation on your election’. The formal opening ‘It gives me great pleasure to congratulate you on …’ uses the verb, which avoids the question altogether.
