What is an Internship Offer Letter?
An internship offer letter is an organisation’s written offer of an internship to a student: the role, the start and end dates, where and on which days they will work, the stipend, the mentor, and the date by which to accept. It lets the student plan their term and get their college’s approval, and it gives both sides one record of what was agreed. Without it, the dates drift, the stipend is remembered differently, and the college may not count the internship. Fill in the form on this page, or adapt one of the sample letters below.
Companies, start-ups, non-profit organisations, design studios, law and accounting firms, and research labs send internship offer letters to students and recent graduates, usually after an interview or a review of their application. Colleges often ask to see the offer letter before they approve an internship for credit or allow a student to be away from classes, and students use it to plan travel and accommodation. Sent well before the start date, it gives the student time to accept, tell the college and arrange the move.
Stipend and internship rules differ by country, so check them before you write. In India, the stipend is usually set by the organisation’s own policy, but an apprenticeship under the Apprentices Act carries its own stipend rules, some professions’ regulators set rules for internships in their field, and colleges and universities set their own requirements for duration, credits and evaluation. In the US, whether an intern must be paid depends on federal and state wage law; in the UK, an intern who counts as a worker is usually entitled to the National Minimum Wage. Check the labour department’s guidance where the intern will work, and the college’s internship rules.
An internship offer letter is not an appointment letter or an employment contract, and it does not promise a job at the end; a pre-placement offer, if one follows, is a separate letter. Once the student signs and returns it, it records what both sides agreed — the dates, place, stipend and certificate — and each may rely on those terms. Whether the arrangement counts as employment depends on what the intern actually does and on local law, not on the title. Confidentiality or intellectual property terms, if you need them, belong in a separate agreement.

How to write an internship offer letter
Fix the role and the dates
Give the internship a clear role title, such as ‘Marketing Intern’ or ‘Design Intern’, and set the start and end dates. Check the dates against the student’s college calendar and examination timetable, and against any minimum duration the college requires for credit. A fixed end date matters: the college needs it to approve the internship, and the student needs it to plan travel, accommodation and the next term.
Say where and when the intern will work
Describe the place and the working days in one line. The letter places it after ‘at’, so phrase it to read naturally: ‘our Guntur office, Monday to Friday’, or, for a hybrid internship, ‘our Guntur office on Mondays and from home on other weekdays’. If the daily hours differ from your usual office hours, tell the intern separately or add them to the line, so they can plan their travel.
State the stipend, or decide there is none
If the internship is paid, enter the stipend with the currency and period, such as ‘₹ 10,000 a month’, and tell the intern how and when it will be paid. If you leave the field blank, the letter says nothing about money, which can leave the student assuming otherwise, so make it clear before they accept. Before offering an unpaid internship, check that it is allowed where the intern will work.
Name a mentor
Name the person who will guide the intern’s work and review their progress, with their designation, such as ‘Ms. Divya Nair, Marketing Manager’. A named mentor gives the intern someone to turn to on the first day, and gives the college a contact for evaluation forms or attendance records. If you do not yet know who it will be, leave the field blank and introduce the mentor on the first day.
Set an accept-by date and sign
Give a date by which the student must sign and return a copy, leaving enough time for them to get their college’s approval, so you can offer the place to someone else if they decline. Have the letter signed by an authorised signatory with their name and designation. The letter promises a certificate describing the work at the end, so note the end date and issue the certificate on time.

Common mistakes
- Leaving the end date open, so the college cannot approve the internship for credit and the student cannot plan the next term around it.
- Saying nothing about money, so the student assumes a stipend that is not coming, or the reverse, and the internship starts with a misunderstanding.
- Calling what is really a job an internship to avoid paying wages, which can break wage law and leaves the organisation exposed if the intern complains.
- Promising a job at the end, even casually, which the student may rely on when turning down other offers and which the organisation may not be able to keep.
- Forgetting to issue the certificate the letter promises, so the student has nothing to show the college or future employers for the work they did.
Frequently asked questions
What should an internship offer letter include?
It should include the intern’s name, the role, the start and end dates, the place and working days, the stipend if any, the mentor, and the date by which to accept. It should also say what the intern receives at the end, such as a certificate, and be signed by an authorised person with their designation. Add a reference number and the date. If there are rules on confidentiality or leave, attach them or refer to them.
Is an internship offer letter a contract?
Once the student signs and returns it, an internship offer letter records what both sides agreed, such as the dates, place and stipend, and each side may rely on those terms. Whether it amounts to an employment contract depends on what the intern actually does and on the law where they work, not on the title. For confidentiality, intellectual property or anything more complex, use a separate written agreement, and take advice if unsure.
Is a stipend compulsory for an internship?
It depends on the country and the arrangement. In India, the stipend is usually a matter for the organisation’s policy, but apprenticeships under the Apprentices Act and some regulated professional internships have their own rules. In the US, federal and state wage law decides whether an intern must be paid, and in the UK an intern who counts as a worker is usually entitled to the minimum wage. Check the labour department’s guidance where the intern works.
How do I accept an internship offer letter?
Read the letter carefully and check the dates, place, working days and stipend against what you discussed. If anything is unclear, ask before you accept. Then sign a copy, add the date, and return it by the accept-by date, by hand, by post or as a scanned copy by email if the organisation allows. Keep a copy, and give one to your college if it needs to approve the internship.
What is the difference between an internship offer letter and an internship certificate?
The offer letter comes before the internship and sets out what is being offered: the role, dates, place, stipend and mentor. The internship certificate, or completion certificate, comes at the end and confirms that the student actually did the internship, in which role and between which dates, often with a short description of the work. Colleges and employers usually ask for the certificate as proof of completion.
Does an internship offer letter need a company seal?
There is no general rule that it must carry a seal. It should be on the organisation’s letterhead and signed by an authorised person with their name and designation. Some colleges ask for a letter with the organisation’s seal or stamp before they approve an internship, so check your college’s requirements and ask the organisation to add the stamp if needed.
