What is a Payment Receipt?

A payment receipt serves as proof that money changed hands. The person who received the funds issues it, and the person who paid keeps it. Without one, a cash payment leaves no trace at all, and even a transfer leaves only a bank line that says nothing about what it was for. The receipt closes the item: it fixes the date, the amount, the method and the obligation the payment was made against. This payment receipt format puts those details in a fixed order, under a receipt number, above a signature.

Receipts are issued by landlords taking rent, schools taking fees, tradespeople taking cash on completion, societies collecting maintenance, clubs collecting subscriptions, charities acknowledging donations and sellers taking a deposit. The payer usually needs it for something specific — a reimbursement claim, a visa or loan file, a tax deduction, or simply to prove the deposit was paid when the seller later says it was not. That is why the wording on a receipt matters more than its layout: the reader is often a third party who was not present.

Requirements vary. In India a revenue stamp is customarily affixed to cash receipts above the threshold set by stamp law, and receipts for donations claimed under the income tax rules must carry the registration details the tax authority prescribes — check the current position. In the UK, a donation covered by Gift Aid needs a separate declaration rather than a receipt alone. In several countries a seller must give a receipt on request for a cash sale, and consumer protection rules may set what it has to show. Confirm what applies where you are trading.

A receipt records that a sum was received. It does not by itself prove the underlying debt is cleared unless it says so, which is why ‘received in full and final settlement’ means something quite different from ‘part payment received’. It is not an invoice, and it is not a tax invoice unless it carries everything a tax invoice must carry. It does not replace your bank record either — the receipt explains the payment, the bank statement evidences it, and disputes tend to need both.

How to write a Payment Receipt

  1. Number and date every receipt

Give each receipt a number in a running sequence, and date it the day the money was actually received — not the invoice date and not the day you wrote it up. That date drives the cut-off in cash-basis accounts and settles arguments about whether rent arrived before or after the due date. Keep a copy or counterfoil for yourself against the same number.

  2. Name the payer and the reference

Write the full name of the person or entity that paid, plus the reference the payment relates to: flat number, student roll number, membership number, customer account. ‘Received from R. Sharma, Flat 4B’ can be filed by anyone. ‘Received from Rahul’ cannot, and is useless six months later when a different person is handling the ledger.

  3. Say exactly what the payment is towards

The towards line does the real work. ‘Rent for Flat 4B, 1 to 30 September 2026’ is verifiable. ‘Payment received’ is not. Where the payment settles an invoice, name the invoice number. Where it is a deposit, say what it is a deposit on and whether it is refundable, because that is the sentence people come back to argue about.

  4. Write the amount in figures and in words

Put the amount in figures with the currency stated explicitly, then repeat it in words. Words cannot be altered by adding a digit, and they resolve the ambiguity between decimal and thousands separators used in different countries. If the sum is a part payment, write the balance still outstanding on the same line so nobody can present the receipt as a full settlement.

  5. Record the method and its reference

State the payment method: cash, bank transfer with its reference or UTR, card with the last four digits, or cheque with its number, date and bank. A cheque or post-dated instrument should be marked as received subject to clearance, so the receipt does not become proof of payment for funds that later bounce. Sign it, and print the signatory’s name beneath.

Payment receipt or sales receipt?

A sales receipt lists the goods or services sold at the moment of sale, with prices and any sales tax. A payment receipt confirms that money was received against something that already exists: an invoice, a rent agreement, a fee, a subscription or a deposit. Shops issue sales receipts at the checkout. Landlords, schools, tradespeople, clubs and housing societies more often need payment receipts.

Use a sales receipt when you sell over the counter and need to show each item and the tax on it. Use this template when you are confirming money received against an invoice or an agreement, and name that invoice or agreement on the Towards line. If one payment covers several invoices, list each invoice number, so the payer’s accounts team can match the money.

Receipts and your financial records

Each receipt records one financial transaction, and together your copies form part of your financial records. Keep them in number order, with the date, the amount paid and the payment method for each. Match them against your bank deposits every week. Cash that was receipted but never banked shows up at once, and so does a gap in the numbers.

Receipts also tell you about your cash flow. A deposit receipted in October and a final payment in November show when money actually arrived, not just when it was invoiced. That matters if you keep cash-basis accounts, where income is counted when it is received. How long you must keep receipts is set by your tax authority, so check its current guidance before you throw any away.

Card terminals, payment apps and accounting software handle receipt generation for routine sales. This template is for the payments that fall outside them: cash, a cheque, a bank transfer, or a deposit taken in person. Save the receipt as a PDF and email it to the payer, with the receipt number in the file name. If they later ask for a paper copy, print the same file, so the payment details match your records.

Common mistakes

  • Writing ‘paid in full’ on a part payment, which hands the payer a document that appears to settle the whole debt.
  • Issuing receipts with no number, so neither party can find the one that matters when it is needed.
  • Taking cash without a signature and printed name of the person who received it, leaving nobody accountable if it never reaches the account.
  • Treating a cheque as settled on the day it was handed over rather than on clearance, and releasing goods or keys against a payment that fails.
  • Omitting the currency where more than one circulates locally, turning a clear sum into a disputed one.

Frequently asked questions

Is a receipt the same as an invoice?

No. An invoice is issued before payment and asks for money; a receipt is issued after payment and confirms money was received. They are often produced by the same business for the same transaction, in that order. If you only issue invoices, a customer who has paid still has nothing from you confirming it, which is why deposit and cash payments in particular need a separate receipt.

Do I have to give a receipt for a cash payment?

Practice differs by country and by trade, and in some places a seller must provide one on request or above a stated value. Regardless of the rule, issue one for every cash payment: cash is the only method that leaves no independent record, so the receipt is the entire evidence trail. Check your local consumer or tax rules for the specific obligation before deciding not to.

Is a handwritten receipt valid?

Generally yes, if it contains the substance: date, who paid, who received, the amount, what it was for, the method, and a signature. Nothing about being handwritten weakens it. What weakens a receipt is missing detail — an amount with no purpose attached, or a signature with no printed name. A printed template simply makes it harder to leave one of those out.

Does a receipt need a revenue stamp?

That is a stamp-law question and it depends on where you are. In India a revenue stamp is customarily affixed to cash receipts above a threshold set by the stamp legislation, and the receipt is signed across the stamp. Many other countries have no such requirement at all. Check the current rule for your jurisdiction rather than copying a format you saw somewhere else.

Can I issue a duplicate receipt if the original is lost?

Yes, and you should, but mark it clearly as a duplicate and keep the original number rather than allocating a new one. That way the ledger still shows one payment, not two. Note on your copy that a duplicate was issued and to whom. Never issue a fresh receipt with a new number for a payment already receipted; that is how the same money gets counted twice.

What is a receipt of payment?

It is the written acknowledgement the person who was paid gives the person who paid. It names both of them, the amount, the date, what the payment was for and how it was made — cash, cheque, card or bank transfer. It is the payer's proof that the bill or debt was settled, which is why people still ask for one when the money went by transfer.

How do I write a paid-in-full receipt?

Use the same details as any payment receipt, then say plainly that nothing more is owed — for example, received in full and final settlement of invoice 1043. Quote the invoice or agreement it closes, and if the debt was paid in instalments, give the total amount paid over time. It matters most when a debt was paid in parts, because it is the document that stops anyone asking for more.
