Accounting software

This sheet is a working document. If you are redoing it every month, ledger software does the reconciliation for you and keeps the audit trail — that is the part a template cannot do.

Tax invoice requirements differ by country — India needs GSTIN, HSN and place of supply; the UK and EU need a VAT number and a VAT breakdown. Check what yours must show before issuing.

What is an Invoice?

An invoice is the document that turns work done into money owed. It names who is billing whom, what was supplied, how much is payable and by when. Without one, the customer’s accounts department has nothing to enter, nothing to approve and nothing to pay against — and you have no dated record of the debt if you later have to chase it. Most tax systems also require a compliant invoice before either side can account for the tax.

Invoices are raised by anyone who supplies goods or services on credit: freelancers, consultants, tradespeople, agencies, wholesalers and large suppliers alike. On the receiving side the invoice is worked by people who never met you — an accounts payable clerk matches it to a purchase order and a goods received note, a manager approves it, and a payment run picks it up. Everything on the page exists to let that chain happen without a phone call. An invoice that cannot be matched or approved does not get paid faster by being chased; it gets paid when the missing detail arrives.

What the document must carry varies by country. In India a GST-registered supplier issues a tax invoice showing the GSTIN of both parties, HSN or SAC codes, place of supply and the CGST, SGST or IGST split. A UK VAT invoice must show the supplier’s VAT number, the rate applied and a VAT breakdown. An Australian tax invoice must show the ABN and either the GST amount or the words ‘Total price includes GST’. In the United States there is no federal VAT, and sales tax turns on state rules and on where the customer is. Check what yours must carry before issuing.

An invoice is a demand for payment and a dated record of a debt. It is not proof that you have been paid — that is a receipt — and it is not by itself a contract; the quote, order or agreement behind it does that work. A proforma invoice is a quotation dressed as an invoice and does not create a debt or a tax point. Nor does issuing one compel anyone to pay. It starts the clock, gives the customer something to approve, and gives you the document you would rely on if the matter had to be escalated.

How to write an Invoice

  1. Give every invoice a unique number

Number them in one unbroken sequence — 2026-014, then 2026-015 — with no gaps, no duplicates and no restarting when you change stationery. The number is how the customer’s system files it, how you find it when they say it never arrived, and how an auditor traces one payment to one supply. A prefix by year or by client is fine, provided the sequence inside it never repeats.

  2. State both parties in full

Put your trading name, address and tax registration number at the top, and the customer’s registered entity name and billing address below — not the name of the person who briefed you. Accounts payable pays vendors, not contacts, and an invoice made out to Priya rather than Meridian Foods Pvt Ltd can be returned unpaid. Add the customer’s tax number where your rules require it on business-to-business supplies.

  3. Describe each line so it can be approved

One line per thing supplied, with description, quantity and unit price. Write what the approver needs in order to recognise the work: ‘Drainage survey, Ashford site, 12 hours at 40.00’ is approvable. ‘Consulting services’ is not, and comes back as a query a week later. Where a purchase order exists, quote its number and line reference so the clerk can match your line to theirs without exercising judgement.

  4. Set the tax line your country requires

Show the rate, the taxable amount and the tax as separate figures, and label the line the way your system labels it — GST in India, VAT in the UK, sales tax or simply Tax in the United States. Say whether unit prices already include tax. If you are not registered, do not add a tax line at all; tax charged by someone not registered to collect it has to be unwound later.

  5. Give a due date and payment details

Write a calendar date, not only ‘Net 30’ — the two parties may count from different events. Then give the account name, the account number and whichever identifier your banking system uses: sort code, IFSC, routing number, BSB, or IBAN and BIC. Add the reference you want quoted on the transfer, usually the invoice number, so the payment reconciles itself when it lands.

Common mistakes

  • Reusing or skipping invoice numbers, which leaves two separate supplies looking like one and makes the ledger impossible to reconcile at year end.
  • Writing ‘Net 30’ with no calendar date, so the customer starts counting thirty days from the day somebody got round to opening the email.
  • Billing the individual you dealt with instead of the legal entity that placed the order, which stops the invoice at the first matching step.
  • Leaving off a purchase order number the customer told you to quote, after which the invoice sits unmatched until somebody notices it is missing.
  • Omitting your VAT, GST or other registration number when you are registered, which can block the customer from reclaiming the tax and gets the invoice sent back.

Frequently asked questions

What is the difference between an invoice and a receipt?

An invoice asks for money; a receipt confirms money arrived. The invoice comes first, carries a due date and payment terms, and stays open on the ledger until it is settled. The receipt is issued afterwards by whoever received the funds, and closes the item. When a customer asks for proof of payment they want a receipt, not a copy of the invoice with the word paid written across it.

Can I send an invoice as an individual or sole trader?

Yes. An invoice is a commercial document, not something only registered companies may issue. Put your own name and address where a company would put its trading details, add a tax registration number only if you actually hold one, and number your invoices in sequence as any business would. Whether you must register for GST, VAT or sales tax depends on your turnover and country — check your tax authority’s threshold.

What does Net 30 mean on an invoice?

It means the full amount falls due thirty days from a starting point — usually the invoice date, sometimes the delivery date, sometimes the end of the month of invoice. Because the starting point is not universal, write the actual due date beside the term. ‘Net 30, due 4 April 2026’ cannot be misread; ‘Net 30’ on its own can be, and is usually read in the payer’s favour.

Does an invoice need to be signed?

Usually not. Invoices are ordinarily issued unsigned and accepted on the strength of the details they carry. Some buyers, some public bodies and some customs processes do ask for a signed or stamped copy, and some countries operate mandatory electronic invoicing schemes with their own authentication. Ask the customer what their process needs before you print, rather than after they reject what you sent.

How should I number my invoices?

Pick one scheme and never break it. A running number is enough; a year prefix such as 2026-001 makes filing easier; a client code helps if you bill many customers. What matters is that numbers are unique, sequential and unbroken, because gaps invite questions from anyone auditing the books. Never renumber an invoice you have already sent — issue a credit note and a fresh invoice instead.
