Dear Sir / Madam,
I am writing to request [type of leave] for [number] day(s), from [date] to [date] inclusive.
The reason is as follows: [reason]
I will resume duty on the working day following the period above. I would be grateful if you would approve this application.
What is a Leave Application?
A leave application is the written request an employee or student makes to be away for named dates, stating the reason and who will cover. It exists so the absence is authorised rather than merely noticed. Verbal permission from a manager who later moves on, or forgets, leaves nothing behind when payroll comes to classify the days — and an absence with no record attached is the one that turns into a deduction or a disciplinary note.
Employees write these for annual leave, sick leave, casual leave, bereavement, medical appointments, examinations and family emergencies. Students and parents write them to a class teacher or head of department. In organisations with an HR system the application is usually a form, and the letter is what you send when the system is down, when the absence is unusual, or when you want the reasoning in writing. Managers read them to decide two things: can the team absorb these dates, and has the person said who is covering what.
Leave entitlement itself is not something the letter creates. Statutory annual leave, sick pay, parental and carer's leave, and the notice you must give are set by national or state law and then by your contract, award or enterprise agreement — and they differ sharply. The EU sets a minimum paid annual leave floor; the UK has its own statutory entitlement and statutory sick pay; the US has no federal paid annual leave requirement and varies by state and employer; India works through shop and establishment acts that differ state by state; Australia runs through the National Employment Standards. Read your own contract and the local rule before assuming a figure.
Sending the application is not the same as having leave approved, and treating it as approval is how people end up absent without authorisation. Until a manager or HR confirms in writing, the dates are a request. The letter also does not carry medical evidence — where a fitness note or medical certificate is required, that is a separate document with its own rules about who may issue it and when it is needed. And it does not fix a shortfall in your balance: if you do not have the days, the letter is a request for unpaid leave, and should say so.

How to write a Leave Application
State the dates and the count
Give the first and last day of absence and the total number of working days, written out in full — 12 to 16 October 2026, five working days, returning on 19 October. Naming the return date removes the ambiguity: inclusive and exclusive readings of a date range are the commonest source of a mismatch between your record and payroll's.
Name the type of leave
Annual, sick, casual, earned, compensatory off, bereavement, unpaid — say which, because each is coded differently in payroll and drawn from a different balance. If you are not sure which category applies, say what the absence is for and let HR classify it rather than guessing. A misclassified day is corrected far more easily before it is processed than after.
Give a reason, briefly
One line is enough, and in most cases a general one is appropriate: a family commitment, a medical procedure, a wedding out of town. You are not obliged to detail a medical condition, and a manager is not usually entitled to demand it. Be specific about the practical shape of the absence — whether you will be contactable, and whether the dates could move — rather than about your private life.
Hand over the work by name
List what is live, who is picking each item up, and confirm you have spoken to them. This is the part that turns a request into an easy approval: a manager reading that the client review goes to Priya and the month-end reconciliation to Daniel, both agreed, has nothing left to worry about. A request with no handover invites a counter-proposal on dates.
Send it to the right people
Address it to the person who approves leave, copy HR or payroll, and send it by whatever route your policy names — the HR system, email, or a signed form. Keep the approval, not just the request. When a leave balance is queried a year later, the written approval is the document that settles it, and the one nobody keeps.

Types of leave and what to write for each
- Leave names and rules differ between employers, and between government and private jobs, so use the names in your own leave policy or service rules.
- For casual leave, a brief personal reason is enough, since it is usually meant for short, unplanned needs.
- For earned or privilege leave, apply well ahead, because it is usually taken for planned absences and many policies set a notice period.
- For sick leave, say when the illness began and when you expect to return, and check whether your policy asks for a medical certificate from a doctor.
- For maternity or paternity leave, give the expected date and the period you are asking for, and check the current entitlement with HR first, as maternity leave also rests on law.
- For compensatory off, name the holiday or weekly off on which you worked, so the day can be matched with attendance records.
- For leave without pay, say plainly that you are asking for unpaid leave, for example because your paid balance has run out.
Extending, cancelling or applying after an emergency
If you need more days, apply for an extension before the approved leave ends, by the same route as the first application. Quote the dates already approved, give the new return date and the reason, and say who will keep handling your pending work. An extension that is simply assumed, or sent after the return date has passed, is the absence most likely to be marked unauthorised.
When an emergency leaves no time to apply in advance, tell your manager by phone or message on the first day. Then send the written application as soon as you can, with the actual dates, and mention when you first reported the absence. If plans change before leave starts, cancel or shorten it in writing, so the unused days go back to your balance. Some offices, particularly in government, also expect a joining report when you return.
Leave application by email
Many offices accept leave requests by email, either instead of an HR system or alongside it. Put the leave type and the dates in the subject line, such as ‘Casual leave request: 19 to 21 October 2026’, so the message is easy to find later. Address it to the person who approves leave and copy HR if your policy asks for that. Keep the body to the same points as the letter.
You can fill in the form on this page, save the letter as a PDF and attach it, or paste the same points into the email itself. Send it from your work address, and attach any supporting document your policy asks for. Once the leave is approved, set an out-of-office reply that gives your return date and the name of the colleague covering for you.
Common mistakes
- Writing a date range without a return date, so a five-day absence is recorded as six and the extra day comes out of the balance.
- Leaving the leave type unnamed, which lets payroll code paid leave as unpaid and turns a correction into a month of emails.
- Treating the sent application as approval, which makes the absence unauthorised if the manager never actually answered.
- Naming no cover, which gives a manager a practical reason to refuse dates they would otherwise have signed off.
- Applying after the fact for planned leave, when most policies set a notice period and a late application can be refused on that ground alone.
Frequently asked questions
How do I write a leave application?
Address it to the person who approves leave. Give the exact dates, the number of working days and your return date. Name the type of leave. Give a one-line reason. Say who is covering your work and confirm you have arranged it. Add a contact number if you can be reached. Send it by the route your policy names, copy HR, and keep the approval when it comes.
How much notice do I have to give for leave?
Whatever your contract, policy, award or local law sets — and those differ by country and often by state. Some places tie notice to the length of the leave requested. Planned absence generally needs notice; sickness and emergencies are notified as soon as you can. Check your own policy for the figure, because a request that is properly made but late can still be refused on the notice ground.
Do I have to say why I am taking leave?
A reason is normally expected, but the level of detail is not. A line naming the general category — a medical appointment, a family matter, travel — satisfies most policies. For sick leave, employers in many places may ask for a fitness note or medical certificate after a set number of days, and that requirement is set by local law and your policy. You are rarely obliged to disclose a diagnosis.
Can my employer refuse a leave application?
Generally yes, for annual leave, on operational grounds and within whatever your contract, award or local law allows — some systems require a reason, some require alternative dates to be offered, and some protect particular kinds of leave from refusal outright. Statutory leave such as parental or jury service is treated differently again. If a refusal looks wrong to you, check the entitlement in your contract and the local rule before challenging it.
How do I write a leave application for one day?
The same structure, shorter. Name the single date, the type of leave, a one-line reason, and who covers anything time-sensitive that falls on that day. Send it by the usual route rather than mentioning it in passing — a single day taken on a verbal nod is exactly the absence that shows up unexplained on a timesheet three weeks later.
What dates go in a leave application?
The start date and the end date of the leave, and the total number of days, counted the way your workplace or school counts them — working days or calendar days. If you need only half a day, say which half. For a single day, give that one date. Clear dates let the person approving it arrange cover and mark the register correctly.
