What is a Sick Leave Application?

A sick leave application tells a school or employer that illness kept you, or will keep you, away — which days, what is wrong in a few words, and whether a medical certificate backs it up. It turns an absence into recorded sick leave. Without one, the days can be marked as unexplained absence, count against the attendance a student needs for exams, or come off an employee’s pay instead of a leave balance.

Students write it to the class teacher or principal, either before an absence they can see coming or on returning, to explain days already missed; for a younger child, a parent writes and signs it. Employees write it to a reporting manager or HR, commonly after calling in sick on the first morning. Both versions do the same job: they put on record which days you were away, why, and what evidence exists, so the absence is treated as sick leave rather than as unexplained.

The rules sit outside the letter. Students should check the school’s and the board’s attendance rules: boards such as CBSE require minimum attendance to sit board exams, and allow a shortage to be condoned on medical grounds with documents. In India, an employee’s sick leave comes from the employer’s policy, the State’s Shops and Establishments Act or standing orders under the Industrial Employment (Standing Orders) Act, 1946, and, for insured employees, sickness benefit under the Employees’ State Insurance Act, 1948. UK employees self-certify the first seven days, then need a fit note. The US has no federal paid sick leave law, though some states and cities require it.

A sick leave application is not a medical certificate and is not proof of illness. Where the school or employer needs a doctor’s certificate for longer absences, attach it or say when it will follow. The application also does not decide pay: whether the days are paid, taken from your leave balance or counted against attendance depends on the rules above, not on the wording. And it needs no list of symptoms or medicines — a phrase such as ‘viral fever’ is enough, and a certificate, where required, carries the medical detail.

How to write a Sick Leave Application

  1. Say who is writing and to whom

    A student writes to the class teacher or principal; a parent writing for a younger child should say so in the first line. An employee writes to the reporting manager, copying HR where the leave policy asks for it. Give your name with class, section and roll number, or your designation and department, so the absence is marked against the right record.

  2. Describe the illness in a few words

    One plain phrase is enough: ‘high fever’, ‘food poisoning’, ‘a sprained ankle that stops me travelling’. That tells the reader why you cannot attend without handing over your medical history. ‘Not well’ on its own invites a follow-up question; a page of symptoms is more than a teacher or manager needs. If a doctor has advised rest, say so and give the period.

  3. Give the first and last day

    Write the first and last date of absence in full, with the month, and the number of days, rather than ‘for a few days from tomorrow’. Open-ended leave cannot be approved or recorded. If you are writing after returning, use the past tense and give the days you were away. If you do not yet know when you will be fit, give an expected return date and promise an update if it changes.

  4. Say whether a medical certificate is attached

    Check the school’s or employer’s rule on when a doctor’s certificate is needed; many ask for one only for longer absences. If one is needed, attach it, or say when it will follow: ‘I will submit the certificate from Dr Rao’s clinic on the day I rejoin.’ ESI sickness benefit has its own certification rules, so insured employees should check them with their ESI dispensary or branch office.

  5. Arrange cover and leave a phone number

    Students can ask how to make up a missed test or practical and name a classmate who will share notes. Employees should say who covers urgent work, which tasks can wait and whether they can be reached. Add a phone number that works while you are ill — yours or a parent’s — so the teacher or manager can check a detail instead of marking the absence unexplained.

Common mistakes

  • Writing ‘for a few days’ instead of a first and last date leaves the record open, and any extra days can be marked as unexplained absence.
  • Leaving out a medical certificate where the school or employer requires one can get the days treated as unpaid leave or an unexcused absence.
  • Sending the application only to a colleague or classmate, not to the person who approves leave, means no one with authority has recorded the absence.
  • Listing detailed symptoms and medicines shares private information with more people than necessary, and it does not make the request any stronger.
  • Waiting until attendance is checked before explaining a long absence leaves the school without the documents it needs to condone the shortage.

Can I send a sick leave application by email or WhatsApp?

Email works where the school or employer accepts it, and it gives you a dated record. WhatsApp is common for a first message on the morning you fall ill, but many leave policies still want a formal request afterwards — by email, in the HR system or on paper. Send the quick message first, then follow up in the format the rules name, and keep screenshots or sent copies.
